Summary:
The Assistant Director, Case Management and Administration is a live-on position that works to support the department of Housing and Residence Life. The Assistant Director, Case Management and Administration is a student facing role providing support, advocacy, and resources to students in crisis, with high or exceptional needs, or who need additional support. The Assistant Director, Case Management and Administration will oversee the Residence Life portion of the University CARE Network and work with Residence Life staff, Dean of Students Office Staff, and other CARE Network team members to manage referrals for residential students. This position has decision making/problem solving authority for the Residence Life portion of the CARE Network under the guidance of the Director and/or Associate Directors for Residence Life.
This Position will report directly to the Director of Residence Life and indirectly to the Associate Directors for Residence Life.
The Assistant Director, Case Management and Administration works collaboratively with Housing and Residence Life Staff on HRL Administrative processes to ensure an effective residence life operation to include access and other key areas in need of support. This position also works with campus partners and community resources to develop an ecosystem of care for our residential students.
The Assistant Director, Case Management and Administration works in collaboration with other residence life staff members on Crisis Prevention, Conduct support, and proactive education programmatic efforts.
This position serves in the On-Call Rotation providing after-hour support to the on-call student staff who provide after-hours support to the residential students.
Essential Functions:
1.) Case Management, CARE, and Policy Enforcement • Manage the residence life portion of the university CARE Network, including referral assignments, monitoring and following up on incidents and/or students experiencing distress.
• Formulate intervention plans designed to minimize and/or resolve student challenges.
• Provide office support for walk-ins/calls to the department for students of concern/in crisis.
• Maintain records and updates using the Care Network and Guardian database systems.
• Review and triage referred incident reports and assigned Care Network reports.
• Provide non-clinical mental health support and resources to residential students and student staff within residence life.
• Develop reports that track student challenges, identify trends, and provide recommendations for programming and training for professional and student staff team members.
• Review the on-call log daily and send via email CARE follow up to Residence Life staff members and escalate appropriate concerns to departmental and divisional leadership.
• Keep the Director and Associate Directors updated and apprised of active, developing, or emergency situations with residential students.
• Advocate at the department and university level on behalf of residential students in need of support.
• Ensure that Residence Life policies and procedures are followed for all incidents and emergencies affecting residential students.
• Serve as a liaison to American University Police, the office of the Dean of Students, and other constituent groups.
• Serve on the University CARE Team through attending weekly meetings, providing updates on residential cases, and providing insight on supportive measures Residence Life can provide.
• Ensure that policies are uniformly, fairly, and consistently enforced.
• Read and access staff reports on alleged violations of the Student Code of Conduct.
• Provide services as a hearing officer in violations of the Student Code of Conduct for those cases involving housing policies as needed.
• Serve as the primary trainer for student staff and university partners as it relates to Residence Life Protocol and Emergency Management, Incident Management, and Residence Life CARE and Case Management.
• Lead the development and implementation of residential programming and other strategies that support student health, wellness, safety, and success.
2.) Administration • Serve as the primary manager for specific Housing and Residence Life systems and administrative processes to ensure operational effectiveness. Some systems include SALTO and CCURE lock systems, StarRez, Guardian, etc.
• Manage Housing and Residence Life Access in all aspects to include onboarding access, student staff clearance access, removing/adding access, and weekly access audits.
• Meet regularly with One-Card and Dining to ensure appropriate access/clearance timelines are accurate and reflective of the Housing and Residence Life calendar and needs.
• Respond to inquiries from students, staff, and families.
• Work in collaboration with the Operations Team to provide support and assistance in preparation for move in, move-out, and other department wide initiatives.
• Works in Collaboration with Housing Assignments staff on access related challenges or needs.
