Role Overview
Join University of Miami Hillel as the Development and Operations Associate and be part of a team helping to enrich the lives of students and support the thriving Jewish life on campus. The Development and Operations Associate will report to the Director of Development and support the implementation of UM Hillel’s development strategy and fundraising efforts by managing administrative processes related to donor communications, data management, and overall organizational operations.
What You’ll Do
Development and Data Systems: 50%
• Support the Director of Development in the execution of all development functions including fundraising, donor stewardship, database management, events, and administrative operations.
• Manage donor database entry and quality control. Ensure efficient, timely transfer of data from various systems to the database.
• Manage the UM Hillel website, GoFundMePro fundraising platform, Little Green Light donor management software system, and social media accounts.
• Manage gift acknowledgement letters and other donor relations correspondence.
• Assist the Director of Development and Executive Director with donor communications and marketing.
• Support annual campaigns and events including grassroots appeals and major fundraising events.
• Coordinate and manage students interns to make donor thank you and lapsed donor calls.
• Support evaluation and analysis of donor campaigns for internal and external reporting.
• Provide administrative support to the Director of Development.
Organizational Operations: 35%
• Support the overall operations of the organization by coordinating administrative systems, maintaining office resources, managing organizational logistics, and ensuring a welcoming and efficient environment for staff, students, and visitors.
• Serve as the first point of contact for the organization. This includes answering email inquiries, answering phone calls, distributing voicemails to appropriate staff members, and greeting visitors to our spaces.
• Maintain calendars and scheduling for organization-wide and staff-wide events
• Oversee bulk ordering and division of shared supplies for the organization, including (but not limited to) office supplies, paper goods, cleaning supplies, and snacks/drinks. Maintain inventory and restock schedule. ● Responsible for ordering, inventory, and restocking of swag and promotional items.
• Provide administrative and operational support to the Director of Operations
Miscellaneous: 15%
• Provide staffing support at Hillel programs, including fundraising events, Shabbat and holiday gatherings, FreshFest, Family Weekend, and Homecoming Weekend on evenings and/or weekends as needed. Schedule to be determined in conjunction with your supervisor.
• Provide administrative support to the Executive Director and Board of Directors.
• Attend additional UM Hillel functions as needed, such as board meetings and retreats, donor gatherings, or other events. Schedule and needs to be determined with your supervisor.
What You’ll Bring to the Job
• Bachelor’s degree required
• Passion for Hillel’s mission and pluralistic Jewish life
• Excellent verbal and written communication skills
• Superb organizational skills and the ability to manage and prioritize multiple projects
• An entrepreneurial spirit, strong work ethic, and desire to learn and be challenged every day
• Proficiency with the Microsoft Office suite, donor management software (Little Green Light preferred), and prospect research tools
What You’ll Receive
• Competitive salary in the non-profit marketplace. The salary range for this full-time role is $45,000 - $55,000
