Purpose Provides high-level administrative and customer support to staff, faculty and vendors in the Butler School of Music. Responsible for various administrative duties including accounts payable, travel, procurement, vendor set-up and record-keeping.

Responsibilities • Accounts Payable: Process vendor invoices, entertainment reimbursements, and commercial card and travel card statement payments, including collection of supporting receipts.

• Travel: Process travel authorizations and travel reimbursements for faculty, students, and staff including cash advance requests and reconciliation.

• Procurement: Create purchase orders, contracts, and UT Market carts. Process commercial card and travel card charges.

• Vendor Identification: Create an update vendor profiles (GGV), process Payee Information Forms (PIFs), update payment methods, and prepare payment documentation.

• Business Processing and Record Keeping: Verify accuracy of account numbers and *Define codes. Coordinate with the Office of Accounting and BSOM faculty by providing consistent, timely and reliable communication. Maintain filing systems, spreadsheets, and financial records.

• Other administrative duties as assigned.

Required Qualifications • Bachelor’s Degree

• One year experience working in an administrative office

• Demonstrated knowledge of Microsoft Office Suite tools (in particular, Excel)

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications • Previous experience working in a higher education administrative office.

• Previous experience with University of Texas business applications (e.g., DEFINE).

Salary Range $47,000+ depending on qualifications

Working Conditions • 5 days in-person for at least first 45-days followed by 4 days in office minimum as per supervisor approval.
