JOB SUMMARY
OpenGov's offices are physical expressions of our culture — and we're hiring a Sr. Workplace Operations Manager to lead that experience in Atlanta while serving as the operational and knowledge backbone for the broader Workplace team. This is a role for someone who brings deep workplace expertise, a hospitality-first mindset, and the systems thinking to build infrastructure that scales. You'll own the full Atlanta office experience, drive cross-site programs, manage vendors and budgets, and partner with local leadership on workplace strategy — all with the autonomy that comes with operating at this level.
RESPONSIBILITIES
Workplace & Site Leadership — Atlanta
- Own general office administration with excellence and hospitality as core values.
- Welcome guests, candidates, and new hires; deliver thoughtful, high-touch office tours and orientation experiences.
- Design and execute a curated workplace experience that fosters cross-functional connection: weekly team lunches, monthly gatherings, all-hands meetings, and creative surprise moments—with meticulous logistics.
- Build on existing frameworks to design, document, and continuously improve admin procedures and programs that scale with the office and the business.
- Serve as the primary workplace point of contact for Atlanta-based employees and leadership; participate in leadership meetings to anticipate headcount growth, space needs, and operational challenges.
- Proactively manage seating charts and neighborhood planning to optimize team collaboration and productivity as the Atlanta office scales.
- Serve as the culture champion and employee advocate for the Atlanta site; build and maintain positive relationships across the office.
Facilities Management & Daily Operations
- Ensure the office is clean, well-organized, well-stocked, and meets OpenGov brand, Facilities Management, and Security standards.
- Develop and implement preventive maintenance programs to ensure ongoing facility functionality.
- Proactively identify and independently address maintenance and service needs; resolve issues with timely follow-through.
- Oversee vendor-managed repairs and services; manage day-to-day building relationships and vendor coordination.
- Serve as the central point of contact with building and property management for all in-office logistics, maintenance requests, and escalations.
- Ensure compliance with relevant health, safety, environmental, and accessibility regulations; develop and implement office policies that support a safe, inclusive working environment.
Facilities Project Support
- Independently own and manage Small Workplace Services & Operations Projects across sites—office refreshes, equipment upgrades, and operational improvements—including vendor scheduling, timeline tracking, and stakeholder communication from start to finish.
- Maintain project documentation and status updates; ensure smooth handoffs and minimal disruption to daily operations across locations.
- Provide support to the Real Estate Manager on major office relocations and build-outs as needed; the scope of this support is defined and approved by the Manager of Workplace Operations & Services, ensuring primary site and team responsibilities remain protected.
Knowledge Hub & Documentation Management
- This role is the information backbone of the Workplace team—responsible for ensuring the team's collective knowledge is organized, current, and accessible.
- Own and maintain the Workplace team's document library, including version control, taxonomy, naming conventions, and accessibility standards.
- Serve as the team's information hub: centralize policies, procedures, vendor agreements, project documentation, and reference materials for the full Workplace organization.
- Determine what gets documented, how it's organized, naming convention, version control, when documents are retired or updated, and how the library evolves as the team scales.
- Build and maintain scalable team process playbooks; proactively identify documentation gaps and close them before they create operational friction.
- Support onboarding of new Workplace team members through organized knowledge transfer and structured documentation.
Vendor, Contractor & Budget Management
- Oversee contractors and vendors supporting ATL operations and cross-site projects; independently manage day-to-day performance, service levels, and contract compliance.
- Execute contract negotiations for vendors and service providers under $15K (e.g., catering, office supplies, small service contracts); partner with Strategic Procurement for engagements exceeding $15K.
- Evaluate vendor performance and make independent recommendations to renew, renegotiate, or replace service providers.
- Identify and implement cost-saving strategies; surface recommendations to the Manager of Workplace Services and Operations.
- Manage office and project budgets with accuracy and accountability; maintain records of vendor agreements, contacts, and service terms.
