This position will be based in Charlotte, NC, in office Monday - Friday
Reporting
This position will report to the Director of Internal Communications & Engagement.
Contract Details
This is a full-time W2 role (40 hours per week, 8:00 AM – 5:00 PM EST) starting August 2026 through December 2026, with the possibility of an extension.
Summary of Role
We are seeking a highly organized, proactive, and service-oriented Workplace Coordinator Contractor to support the daily operations of our Charlotte headquarters during a planned leave of absence.
This role is responsible for ensuring the office runs smoothly by supporting workplace services, employee experience, vendor coordination, office organization, and administrative operations. The ideal candidate enjoys staying busy, takes initiative, has strong attention to detail, and thrives in a fast-paced environment.
Strategic & Tactical
Workplace Operations
• Receive, sort, scan, and distribute incoming mail and packages
• Validate visitor parking and parking tickets
• Manage office access badges
• Complete post office and local business errands as needed
• Assist with general administrative and office support tasks
Kitchen & Hospitality
• Replenish snacks, coffee, beverages, and office supplies throughout the day
• Maintain Executive Coffee Bar
• Load and unload dishwashers multiple times daily
• Clean and organize kitchen areas throughout the day
• Complete monthly refrigerator clean-outs
• Perform periodic kitchen deep cleans
• Monitor inventory and coordinate ordering of snacks, beverages, and office supplies
• Order cold brew, and other hospitality items as needed
Employee Experience
• Prepare workstations for new hires
• Water office plants
• Coordinate monthly office lunches (onsite and offsite)
• Organize employee birthday and work anniversary celebrations
• Coordinate catering for leadership meetings and off-site events
• Support planning and execution of employee engagement events
Administrative Support
• Track inventory and maintain workplace supplies
• Coordinate vendor deliveries
• Support special projects and miscellaneous administrative tasks as assigned
Qualifications
• 0-2+ years of office coordination, workplace services, hospitality, facilities, or administrative experience
• Exceptional organizational and time management skills
• Strong customer service mindset with a positive attitude
• Ability to prioritize multiple tasks throughout the day
• Self motivated with the ability to work independently
• Comfortable lifting up to 25 pounds (office supplies, beverage cases, etc.)
• Proficient with Google Workspace
• Highly dependable and proactive
• Detail-oriented with excellent follow-through
• Enjoys creating an organized and welcoming workplace
• Comfortable interacting with employees, visitors, and vendors at all levels
• Flexible and willing to jump in wherever needed
