As the Warranty Operations Specialist, you will be responsible for supporting the administration of warranty programs through warranty claim processing, dealer and distributor support, warranty system administration, reporting, and warranty policy administration. Serves as a primary point of contact for dealer and distributor warranty inquiries, claim status requests, and warranty process questions while ensuring accurate and timely execution of warranty operations.
Includes: • Dealer and distributor warranty support. • Claim status management and communication. • Warranty system support and table maintenance. • Warranty reporting support. • Administration of warranty policy and procedures. • Warranty parts return (RGA) support. • Warranty correspondence and inquiry resolution. • Create and update SOPs.
What Will You Do? In order to grow and build a successful career with The Toro Company, you will be responsible for:
Dealer & Distributor Warranty Support • Serve as a primary point of contact for dealer and distributor warranty inquiries.
• Respond to questions regarding warranty policies, procedures, claim requirements, and claim submissions.
• Provide timely claim status updates and claim resolution communications.
• Assist dealers and distributors in navigating warranty systems and processes.
• Escalate technical, policy, or complex claim issues to appropriate resources when necessary.
• Maintain positive working relationships with dealers, distributors, and internal business partners.
Claim Status Management & Communication • Monitor warranty claim activity and follow up on pending claims.
• Communicate claim decisions, information requests, and claim status updates to dealers and distributors.
• Maintain documentation of communications and claim actions.
• Assist with resolving routine claim processing issues.
Warranty Reporting Support • Generate and distribute standard warranty reports.
• Assist with collecting and organizing warranty data for analysis and reporting.
• Support warranty trend monitoring and claim activity reviews.
• Maintain data accuracy in warranty reporting tools.
Administration of Warranty Policy & Procedure • Support administration of Warranty Policy and Procedures.
• Assist in maintaining policy documentation and related communications.
• Support development and distribution of warranty training materials and reference guides.
• Communicate policy updates to internal and external stakeholders as directed.
Warranty System Support & Table Maintenance • Monitor warranty system functionality and report issues.
• Perform testing of warranty system enhancements, updates, and corrections.
• Maintain warranty system tables and support master data.
• Support user access requests, system corrections, and data maintenance activities.
• Work with Information Services and business partners to resolve system issues.
Warranty Parts Return (RGA) Support • Process special parts return requests within the warranty system.
• Initiate and maintain manual RGA requests as required.
• Track return activity and assist in resolving receipt or processing issues.
• Coordinate parts return communications with dealers, distributors, and internal stakeholders.
Warranty Correspondence • Respond to routine warranty-related inquiries from dealers, distributors, and internal customers.
• Assist in developing warranty communications and service bulletins as directed.
• Route and coordinate responses for warranty-related requests requiring additional review.
• Maintain documentation related to warranty, correspondence, and inquiries.
What Do You Need? To be considered for this role, an individual should meet the following minimal requirements: • Bachelor's degree in Business, Technical, Operations, Customer Service, or related field; or equivalent combination of education and experience.
• One to three years of experience in customer support, warranty administration, dealer support, technical service, claims processing, or related business functions.
• Strong organizational and administrative skills with attention to detail.
• Proactively identify opportunities to improve warranty processes, support resources, and training to increase efficiency, consistency, and customer/dealer satisfaction.
• Demonstrated ability to manage multiple priorities and tasks simultaneously while maintaining accuracy, organization, and responsiveness in a fast-paced environment.
• Strong written communication skills, with the ability to respond to emails clearly, professionally, and in a timely manner.
• Proficient with Microsoft Office applications.
• Experience working with CRM, warranty, or business systems preferred.
• Experience supporting dealers, distributors, channel partners, or customers preferred.
