Purpose The Senior HR Administrative Associate serves as the primary coordinator for Human Resources administrative operations for the Texas Institute for Electronics (TIE), including recruitment, hiring, onboarding and offboarding, affiliate management, and employee support services. This role functions as a key operational liaison between candidates, employees, managers, University departments, and external partners to ensure efficient, compliant, and customer-focused HR service delivery.

Responsibilities Recruitment support • Support hiring managers and HR staff throughout the full recruitment lifecycle for staff, faculty, research, technical, and administrative positions. • Initiate and submit recruitment requests; manage access to candidate pools; disposition candidates; close recruitments; and collect recruitment-related documentation. • Track recruitment activities and maintain accurate records to support reporting and compliance.

Candidate interview management • Serve as the primary point of contact for candidates throughout the interview and hiring process, providing clear and timely communication. • Develop and maintain interview schedules and candidate itineraries; coordinate interview logistics for hiring teams across multiple locations as needed. • Distribute candidate resumes, job descriptions, evaluation forms, and interview resources; track interview activities and maintain associated documentation.

Hiring and onboarding • Coordinate all new hire onboarding activities, including preparing offer letters, submitting new hire requests, facilitating employee communications, and coordinating access and equipment requests. • Track hiring activities and conduct initial welcome and orientation sessions for new employees. • Manage onboarding and renewal processes for students, affiliates, contractors, temporary workers, and guests, ensuring alignment with University policies and procedures.

Separations and offboarding • Coordinate employee separation and offboarding activities, including data tracking, collection of University property, coordination of access removal, and related employee communications. • Schedule and support exit meetings, including verbal exit interviews, and document feedback to inform continuous improvement efforts.

HR communications and customer service • Monitor and maintain the department’s shared Human Resources mailbox and other intake channels. • Respond to simple to moderately complex inquiries from employees, managers, and candidates on a wide range of HR topics via email, Teams, and in-person. • Collaborate with HR Support Services and other University offices to ensure timely, accurate completion of TIE HR requests, routinely tracking and following up on statuses.

Documentation, reporting, and data management • Prepare correspondence, reports, records, forms, and other administrative documentation as requested. • Prepare and submit weekly staffing reports to TIE leadership. • Maintain and distribute the TIE organizational chart using Visio, ensuring information is current and accu
