About this role
Recruiting Coordinator @ Listen
TL;DR: We’re looking for a Recruiting Coordinator to run scheduling, candidate experience, and recruiting ops. You’ll work closely with recruiters, founders, and hiring managers to keep things tight, fast, and high quality from first touch through onsite and close.
As you ramp, you’ll naturally take on broader, more strategic work across the team.
Background
Listen Labs is the world's fastest AI research platform, built so every company can understand what their customers want, why, and what to do about it. Our AI conducts in-depth interviews, analyzes conversations, and delivers executive-ready insights in hours, not weeks. Born out of a Harvard research project, Listen is trusted by teams at leading brands like Google, Microsoft, Anthropic, Perplexity, Sweetgreen, Replit, and Nestlé to bring real customer voices into their biggest product, marketing, and growth decisions.
Company highlights — entirely product-led:
- World-Class Team: Founded by serial entrepreneurs — Alfred (Bemlo, YC W22) and Florian (IOI medalist, ICPC World Finalist) — and built with talent from Google, Meta, Tesla, Amazon, Jane Street, and X, alongside Bain, Goldman Sachs, McKinsey, and Sequoia-backed startups like Applied Intuition, Scale AI, and Rippling. Over 30% of our team are former founders, and multiple are competitive programming medalists.
- Hypergrowth: Since launching, Listen has grown annualized revenue 15x and completed over 2 million interviews — backed by $100M in total funding led by Ribbit Capital, with Sequoia, Conviction, and Pear VC participating.
- Traction: Already serving 15% of Fortune 100s. Enterprise wins and expansions across Anthropic, Microsoft, Nestlé, Perplexity, Sweetgreen, and more — with teams telling us research that used to take six to eight weeks now happens in days.
What You’ll Do
- Own scheduling end-to-end. Make sure candidates and interviewers show up prepared and on time.
- Run a clean, thoughtful candidate experience, especially onsites. Make it feel smooth and human.
- Keep everyone in the loop. Candidates, recruiters, and hiring managers. No confusion, no dropped balls.
- Work closely with the team to unblock issues quickly and keep things moving.
- Keep Ashby accurate so we have a real view of what’s going on.
- Make things better. Fix broken workflows, tighten processes, and improve how we run.
- Take on ad hoc projects as they come up. This could help stand up a new hiring push, improve how we operate, or jump in wherever leverage is highest.
Who You Are
- 2+ years in recruiting coordination, recruiting ops, or something similar in a fast-paced environment.
- Detail-oriented to a fault. You catch things others don’t.
- Very reliable and responsive. People trust you.
- Can juggle a lot without getting flustered.
- Care about candidate experience and making things feel seamless.
- Good judgment. Can handle sensitive info without issues.
- You like people. You’re naturally warm and easy to work with.
- You don’t wait around. If something’s broken, you fix it.
- Interested in growing into broader ownership over time.
- Experience with Ashby is helpful but not required.
