About this role

Job Summary

The Program Coordinator is a member of the leadership team who provides clinical and administrative support of the day-to-day operations for the clinics and/or diagnostics workflows within the department. Partners with the supervisor/manager/director to coordinate and support patient registrations/scheduling/billing-coding while monitoring and tracking denials.

The Program Coordinator is support for all front-desk team members in leading education, training, and ongoing competency. The Program Coordinator provides direction and support for supervisors, manager, Medical Director, and/or director related to clinical quality & safety, day-to-day operations, and finance.

Essential Duties:

MULTI-ORGAN TRANSPLANT OPERATIONS • Compiles required data for Multi-Organ Transplant Program operations and clinical or financial/budget operations and related activities. • Reviews, updates, develops and implements processes and procedures for clinic scheduling. • Works in coordination with Directors and Outreach nurses on outreach activities including monitoring and tracking success. • Assists with audits on Physician billing, education, regulatory and corporate compliance as required. • In collaboration with Department/Program leadership oversees Purchase Orders; PO creation, PO maintenance via fund replenishment, and payment of invoices, for the Transplant Program.  • Responsible to assist with onboarding for new staff and physicians, including access approvals, related training/education and reimbursement. • Facilitate continuing education webinars related to the transplant program. • Responsible for day to day office operations including but not limited to, payroll processing, calendar management, supply purchasing, billing, coordination of travel arrangements, expense reporting, maintaining and updating website, Selection Committee documentation, etc. • Manages and coordinates referrals from patients, providers and dialysis units including pre-screening for transplant evaluation eligibility.  • Manage all outside records for team review and scans into EPIC for Transplant Team access. • Maintains inactive chart storage process including database management. • Works with Transplant Financial Coordinator (TFC) and/or the Transplant Financial Representative (TFR) to assist with patient insurance referrals from the many different insurance companies, i.e. HMO’s, to assist with financial coordinator verification process. • Manages prior authorizations for imaging, pharmacy and procedures • Assists Waitlist Coordinator in managing listed patient population ensuring patients remain eligible and medically ready for transplant. • Manages, in coordination with the Liver Transplant Coordinators, the random drug/alcohol testing protocol required for liver transplant patients to ensure compliance with program policies. • Manages the coordination of patient monthly HLA mailers to ensure patients/units meet/maintain compliance with UNOS guidelines. Includes follow-up calls to patient/dialysis units regarding monthly serums according to the Gift of Life (GOL) 42-day-old delinquent sera list.  • In coordination with Living Donor Coordinator, manages the entire donor process from initial questionnaire receipt through and including two years of follow-up after donation per regulatory requirements. • Coordinates the scheduling of living donor transplants with transplant physicians’ and hospital boarding offices.  Completes verification process to confirm physician’s office has boarded surgery as planned.  • Writes and sends correspondence to patients, providers, and dialysis units as required by regulatory agencies.

Quality Assurance / Regulatory Compliance

• Assists with ensuring compliance with accrediting and regulatory agencies such as CMS, OPTN/UNOS, TJC, and Renal Network • Management of CMS required Time Studies for Kidney and Liver Acquisition by multidisciplinary team members across multiple hospital departments. • Assists in management & communication to referring physician’s notification about their patients to meet regulatory compliance requirement for pre-transplant phase of care. • Assists the Directors, Manager Transplant Quality, and Clinical Nurse Manager with regulatory documents, committee meeting preparation and projects for the multi organ transplant program, (i.e.: SRTR and Organ Acquisition Cost Centers). • Responsible to organize/maintain numerous databases and compiling information for certification and compliance purposes including patient tracking, statistics, and delivery of care monitoring as required by regulatory agencies (CMS, UNOS, Midwest Network, TJC). • Utilizing PDCA, Kaizen, or GEMBA methods; participates in process improvement discussions with multidisciplinary team. • Manages Community Benefit Reporting for the Multi Organ Transplant Program. • Assist Department/Program leadership in surveys, audits, updating policies/procedures/documents to meet quality assurance and regulatory compliance

Qualifications

• Required High School Diploma • Preferred Associate's Degree Associate and/or bachelor’s degree in business and/or education background.
