Role Scope :
The People Operations Associate is a critical team member who will own the day-to-day operational details of pre-boarding and onboarding, serve as the go-to person for team member questions, and help to ensure that our systems have accurate data, and our processes are being followed. You'll also help keep our HR data clean and reliable and pull the reports leadership relies on to make decisions.
This role is ideal for someone who enjoys an incredibly fast paced environment, is detail obsessed, systems savvy and is energized by being the person who makes sure nothing falls through the cracks, while also being a warm, reliable first point of contact for new and current team members.
Core Responsibilities & Expectations for the Role
• Pre-boarding and Onboarding Execution:
• Monitor task completion and progress across pre-boarding and onboarding workflow, proactively following up with new hires, hiring managers, and cross-functional partners to close gaps.
• Proactively flag risks and stalled tasks before they become challenges.
• Orientation Coordination:
• In partnership with the Learning & Development team, schedule orientation sessions and manage the orientation calendar across all locations.
• Coordinate logistics with facilitators, IT, hiring managers, and new hires to ensure sessions run smoothly.
• Reporting & Data Integrity:
• Audit people systems for accuracy and consistency; proactively identify and correct data discrepancies.
• Maintain clean, reliable records that ensure we are always ‘audit ready’ and cross-functional partners have clean visibility in data.
• Pull, and build, regular and ad hoc reports as needed.
• Team Member Support:
• Serve as the initial point of contact for team member questions related to a variety of topics including pre-boarding, onboarding, policies, benefits, and general People Ops inquiries.
• Special Projects:
• Support the People Team on process improvement initiatives, system implementations, and other special projects as Habitat Health scales.
Required Qualifications:

• At least 3 years of experience in an administrative/operational role (healthcare or startup experience strongly preferred).
• High degree of attention to detail, especially with data accuracy and system hygiene.
• Comfortable, and excited about, working in a very fast paced environment often balancing multiple tasks/deadlines at once with the ability to pivot quickly to respond to the needs of the organization.
• Proficient with HR Systems such as Rippling and Greenhouse Onboarding, Outlook calendaring, and Excel spreadsheets.
• Clear, friendly communication style, and comfortable being a front line point of contact.
• Ability to work independently, exercise discretion with sensitive information, and adapt quickly as processes evolve.
• A proactive, “no task is too small” mindset and taking ownership and following through.
Nice to have:
• Formal project management experience or certification.
• Experience in HR/people operations, and onboarding coordination.

• Ability to travel 1-2 times per year for People team offsites, or hiring fairs.
Compensation:
The anticipated base salary range for this position is [add for role] . This position is also eligible for a target annual bonus of [add if appropriate for role] and may be eligible for additional incentive compensation, as applicable.
