Under the direction of the VP, Global Immunology Marketing, the Lead Administrative Assistant will provide comprehensive administrative and project management support to the leader and the AVP, Global IBD Immunology Marketing.
By leveraging their expertise and skills, the Lead Administrative Associate will ensure seamless coordination and efficient operations across multiple departments. They will contribute to the success of key initiatives by assisting the team in managing their day-to-day activities, including calendar management, meeting coordination, and document preparation. Through their exceptional organizational abilities and attention to detail, the Lead Administrative Associate will help streamline processes, maximize productivity, and enable executives and teams to focus on their strategic priorities.
This role assists with administrative functions relating to organization and communication across the team and ensures the efficient operation of the office and its team members. The position requires excellent organizational and project management skills, professional communication skills, attention to detail, flexibility, and teamwork.
The ideal candidate will know how to effectively prioritize, coordinate, and manage multiple competing priorities in a fast-paced environment while maintaining a high level of accuracy and organization.
The primary activities include and are not limited to the following: • Coordinates and performs multiple administrative tasks, including heavy calendar management, onsite meeting coordination , meeting minutes/recap on key team meetings , travel and expense management
• Serves as project manager and completes various work assignments requiring advanced analytical ability, independent judgment, creativity and problem-solving skills
• Schedules complex, multi-leg and international travel and coordinates trip agendas across multiple stakeholders
• Supports the use of team sites and other information sharing tools
• Effectively interacts with our company's executives and employees, as well as external parties, both on-site and remotely
• Acts as a Lead Admin coordinator with the team’s senior admin role
• Coordinates and/or leads special projects within the organization
Location: • Hybrid role – will work on site in Rahway a minimum of 3 days a week
• High preference for onsite presence Tuesday, Wednesday, and Thursday.
Education: • Required: High School Diploma or equivalent
• Preferred: Advanced education or certifications such as Certified Administrative Professional and project management certification (eg: Six Sigma / Lean Six Sigma, PMP or equivalent).
Required: • Minimum of 10 years Administrative Assistant experience.
• Minimum of (5) years supporting Executives.
• Advanced computer skills, including Microsoft Outlook, Word, Excel, PowerPoint and other internal applications.
• Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel.
• Experience processing visa/passport applications.
• SAP experience processing expense reports, purchase orders, payment requests.
• Ability to handle and prioritize many simultaneous assignments.
• Experience with event planning and coordination .
• Extraordinary attention to detail.
• Outstanding communication and people skills.
• Documented experience as a strong performer in current and past positions.
• Willingness to travel in support of local meetings very occasionally.
Preferred • Experience with financial and budget tasks.
• Experience in or with the Human Health marketing division.
• Highly preferred: Demonstrated experience in project management, process improvement or operational excellence.

The salary range for this role is: $94,300 - $148,400
This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee’s position within the salary range will be based on several factors including, but not limited to relevant education, qualifications, certifications, experience, skills, geographic location, government requirements, and business or organizational needs.
The successful candidate will be eligible for annual bonus and long-term incentive, if applicable.
