Job Description Opportunity:

The Imaging and Quality Control Analyst plays a critical role in supporting the University’s electronic imaging and document management operations by ensuring the integrity, accuracy, and efficiency of imaging processes. This position serves as a subject matter expert for imaging workflows, quality standards, metadata practices, and system operations while partnering with departments across the University to improve processes and enhance service delivery.

The role provides an opportunity to work with innovative technologies, including AI- and OCR-based solutions such as Knowledge Lake Intelligent Capture, to evaluate workflows, identify automation opportunities, and support continuous improvement initiatives. The Imaging and Quality Control Analyst will help ensure reliable system performance, accurate document capture, and consistent imaging practices that support institutional operations and records management requirements.

Key Responsibilities: • Analyze, prioritize, and apply document metadata aligned with departmental workflows, auditing requirements, and electronic document management standards.

• Coordinate the updating, maintenance, and quality control of imaged records to ensure accuracy and consistency.

• Perform optical character recognition (OCR) processing and data validation activities to improve document capture efficiency and accuracy.

• Support imaging system operations by managing service requests, monitoring system performance, and troubleshooting imaging-related issues.

• Monitor and resolve system errors, including reviewing misfiled content, tracking email and folder import processes, and validating document routing and workflow activities.

• Assist with testing, implementation, and quality assurance of imaging software functionality, system upgrades, and workflow enhancements.

• Evaluate AI-enabled imaging technologies and automation opportunities to improve business processes and operational efficiency.

• Provide training, guidance, and technical support to departments and team members on scanning best practices, metadata standards, imaging workflows, and quality control procedures.

• Maintain system documentation, process guides, and operational procedures to support consistent imaging practices.

• Collaborate with internal stakeholders to identify opportunities for workflow improvements and promote operational consistency across the University.

• Support electronic records management activities, including specialized imports, electronic shred processes, and document processing tasks.

• Serve as a resource for troubleshooting complex imaging issues and supporting system enhancements.

• Perform other duties as assigned.

Qualifications Minimum Qualifications: • 3–5 years of related experience in imaging systems, document management, records management, IT support, workflow systems, or a related technical field.

Preferred Qualifications: • Associate degree in Information Technology, Business Administration, Records Management, or a related field preferred; equivalent experience may be considered.

• Experience supporting electronic document imaging systems, OCR technologies, workflow automation, or document management solutions is preferred.

    Required Skills, Knowledge, and Abilities: • Strong organizational, analytical, and problem-solving skills with the ability to investigate issues, identify solutions, and recommend corrective actions.

• Ability to prioritize multiple tasks, adapt to changing priorities, and learn evolving technologies and business processes.

• Strong attention to detail with the ability to collect, verify, analyze, and interpret data accurately.

• Excellent verbal and written communication skills with the ability to support students, faculty, staff, and colleagues at all levels.
