Group Activities Coordinator  

Reports To:   Outdoor Pursuits Manager  

Position Summary  

The Group Activities Coordinator   is responsible for   planning, coordinating, and executing group recreation activities and experiences for resort guests. This role serves as the primary operational liaison for group planners and ensures all activities are delivered seamlessly, professionally, and   in accordance with   guest expectations and Montage service standards.  

Working closely with the Outdoor Pursuits Manager, Assistant Manager, Sales & Marketing, Meetings & Special Events, and other resort departments, the Group Activities Coordinator oversees all logistical and operational aspects of group programming from pre-arrival planning through on-site execution while supporting the daily operations of Compass Sports.  

Essential Duties & Responsibilities  

Group Planning & Execution  

• Coordinate all operational aspects of group activities and experiences following the execution of the Compass Event Order.  

• Reserve, manage, and track group activities using approved resort systems, including Way and Alice.  

• Identify staffing, equipment, transportation, and logistical needs required for successful program delivery.  

• Ensure activities are executed according to event specifications, guest expectations, and Montage service standards.  

• Participate in Resume Meetings, Operations Meetings, and Pre-Conference Meetings as   required .  

• Monitor group activities and proactively resolve operational challenges to ensure a seamless guest experience.  

Guest & Planner Communication  

• Serve as a primary point of contact for group planners throughout the planning and on-site phases.  

• Communicate via email, phone, video conferencing, and in-person meetings to develop, refine, and confirm program details.  

• Conduct pre-arrival guest touchpoints and coordinate planner arrivals.  

• Maintain consistent, professional, and proactive communication with all stakeholders.  

Team Coordination & Collaboration  

• Partner with the Assistant Manager to schedule guides and recreation staff for group activities and experiences.  

• Ensure team members are properly informed, prepared, and equipped to deliver exceptional guest experiences.  

• Collaborate with Food & Beverage, Banquets, Meetings & Special Events, and other resort departments to enhance group offerings and ensure successful execution.  

• Support the daily operation of Compass Sports by   assisting   with guest service, rental, retail, activity, and operational needs as   required   to ensure a seamless guest experience and achievement of departmental goals.  

Administrative Responsibilities  

• Maintain   accurate   event records, reservations, and program documentation.  

• Assist   with drafting, reviewing, and managing Compass Event Orders and related planning materials.  

• Track event updates, special requests, and operational changes to ensure flawless execution.  

Qualifications  

• Previous   experience in hospitality, recreation, events, guest services, or a related field preferred.  

• Strong organizational, planning, and multitasking abilities.  

• Excellent verbal and written communication skills.  

• Strong guest service orientation and problem-solving skills.  

• Proficiency   with Microsoft Office and hospitality reservation systems.  

• Ability to   work   flexible schedules, including weekends, holidays, and evenings as business levels require.
