That’s Nice, But What’s the Job?

In short, the Facilities Maintenance Specialist plays a critical role in keeping DriveTime’s dealership locations and vehicle reconditioning centers operating safely, efficiently, and in compliance with company standards. This position serves as the primary point of coordination for facility maintenance activities, partnering with vendors, landlords, property managers, and internal teams to resolve facility issues, manage repair and maintenance work orders, control costs, and support facility improvement projects. The ideal candidate is organized, resourceful, data-driven, and thrives in a fast-paced environment where balancing multiple priorities is the norm. In Long, as the Facilities Maintenance Specialist, you will be responsible for: • Managing 250-300 monthly facilities maintenance work orders across dealership locations and vehicle reconditioning centers. • Assigning work orders to qualified vendors and monitoring progress through completion. • Establishing and managing not-to-exceed (NTE) approval thresholds for maintenance and repair activities. • Partnering with internal stakeholders to prioritize maintenance needs and ensure issues are resolved in a timely manner. • Building and maintaining relationships with a nationwide network of service vendors and contractors. • Reviewing, evaluating, and negotiating vendor repair proposals to ensure cost-effectiveness and alignment with business needs. • Coordinating with landlords, property management companies, utility providers, and brokers regarding facility-related repairs and concerns. • Monitoring vendor performance and supporting service level accountability initiatives. • Supporting compliance with OSHA regulations, local building codes, company policies, and operational standards. • Coordinating facility inspections and driving corrective actions when necessary. • Assisting with maintenance budget planning and tracking facility-related expenditures. • Analyzing maintenance trends, repair costs, asset performance, and vendor metrics to identify opportunities for cost savings and process improvements. • Developing and implementing preventative maintenance programs to improve facility reliability, reduce costs, and create service consistency across locations. • Providing recommendations and insights that support operational decision-making. • Supporting the planning and execution of multi-trade maintenance projects and capital improvements, including tracking timelines, budgets, and project deliverables. • Participating in a shared after-hours maintenance support rotation.

So What Kind of Folks Are We Looking For? • Strong problem-solving skills with the ability to assess maintenance issues and determine the most effective course of action. • Highly organized and detail-oriented with the ability to manage a high volume of work orders and competing priorities. • Excellent communication and relationship-building skills with vendors, landlords, contractors, and internal business partners. • Comfortable negotiating costs and managing vendor relationships to drive value and service excellence. • Analytical mindset with the ability to interpret maintenance data, identify trends, and make recommendations. • Self-motivated and able to work independently while collaborating effectively with cross-functional teams. • Adaptable and resilient in a fast-paced, evolving environment. • Customer-focused approach with a commitment to providing exceptional service and operational support.

The Specifics. • 3-5 years of experience in commercial real estate, property management, facilities management, construction, or a related field. • Bachelor's degree or equivalent experience preferred. • Working knowledge of commercial building systems, including HVAC, electrical, and plumbing systems. • Experience coordinating repairs, maintenance activities, vendors, and contractors. • Proficiency with Microsoft Excel and other Microsoft Office applications for reporting, analysis, and communication. • Ability to analyze maintenance data, budgets, expenditures, and vendor performance metrics. • Strong organizational, project coordination, and time management skills. • Clear and professional verbal and written communication skills. • Ability to manage multiple priorities while meeting deadlines. • Availability to participate in a shared after-hours maintenance support schedule.

Nice To Have • Experience working with facilities maintenance management systems (CMMS) or work order platforms. • Experience supporting multi-site facility operations across geographically dispersed locations. • Knowledge of preventative maintenance program development and implementation. • Familiarity with facilities budgeting, capital improvement projects, and vendor performance management. • Understanding of OSHA requirements, building codes, and facility compliance standards.
