Thanks for your interest in Oklo! We are searching for a Corporate Document Control and Records Manager to join our team.

Position Description

The Document Control Manager is responsible for developing and implementing processes and procedures for document control at Oklo. They will manage the entire lifecycle of documents within Oklo, ensuring that documents are accurately created, stored, tracked, and distributed in compliance with both internal standards and external regulations. This role involves overseeing the organization of digital records, implementing both document management and document control systems, and maintaining version control. This individual will work closely with departments across Oklo to ensure easy access to documents, handle revisions, and ensure compliance with regulatory requirements. They will also support audits and assist in ensuring proper document retention and disposal according to established policies.

The Document Control Manager will also collaborate with project teams and external vendors, ensuring smooth communication and timely distribution of documents across departments. A key part of the role is maintaining accuracy, developing and improving document control processes, and implementing improvements to existing systems. This role will also involve direct intake of controlled documents and hands-on implementation of the developed processes and procedures. The ideal candidate will be detail oriented, highly organized, and capable of managing multiple tasks while maintaining regulatory compliance and supporting the overall efficiency of the organization.

Specific responsibilities may include:

• Review company business processes and stakeholder needs to develop record, document, and data storage and access solutions

• Develop policies, procedures, and work instructions to implement records management and document control strategies

• Manage the overall data architecture of records and controlled documents, including access restrictions

• Write document control and document management procedures for use across Oklo

• Monitor and enforce document control policies and procedures to maintain document integrity

• Review, edit, and update documentation for accuracy, format, and compliance with company standards, including controlled document intake

• Collaborate with the quality assurance team to maintain consistent document control practices

• Revise company-wide document management processes and procedures

• Train staff on document control and document management process and procedures, both initially and on a recurring basis, as well as generate and maintain training records

Minimum Qualifications:

• A Bachelor’s degree or relevant work experience; more experience is a plus

• Experience with digital document management/control platforms

• Knowledge of document control best practices

• Strong attention to detail

• Strong organizational skills

• Excellent written and verbal communication skills

Bonus Qualifications:

• Experience in a regulated environment

• Experience with quality assurance (NQA-1 desired but not required)

About Oklo travel requirements:

Oklo requires remote employees to travel to headquarters (Santa Clara, CA) twice a quarter annually, based on business or team needs, including attendance at team meetings, off-sites, and other company events or gatherings. For the first two weeks of onboarding, employees are required to be in person at headquarters in Santa Clara, CA.

About Oklo compensation:

Salary: $90,000-150,000
