Job Description: The GAME School in the Herberger Institute for Design and the Arts at Arizona State University is seeking a Business Operations Manager to develop, manage and control the business operations of the school. This position is responsible for a wide range of duties including budgeting, forecasting, reporting, strategic planning, internal procedures and operations including procurement, travel, oversight of student awards, and human resources functions.

The successful candidate is expected to display considerable initiative in meeting deadlines as well as identifying ways to improve and/or streamline processes within their area of responsibility. This individual will be a self-starter with an efficient methodology, excellent customer service and communication skills, exceptional work qualities, an ability to coordinate multiple tasks autonomously and someone who can exercise sound judgment in decision-making.

About The GAME School The GAME School in the Herberger Institute for Design and the Arts is a leading transdisciplinary school that specializes in the integration of the human physical experience with computation and digital media. We offer undergraduate and graduate degrees in media arts and sciences with a range of concentrations and an undergraduate in game design. Other program options include collaborations with other ASU schools, a minor and a certificate in media arts and sciences, and a certificate in artificial intelligence and digital media.

Mission The GAME School educates the next generation of learners and empowers them with technofluency — its development, application and implications. The school prepares students to be socially aware, critically thinking global citizens who strive to bring about positive change in a society that will be increasingly shaped by revolutions in new technologies.

Position Salary Range: ​ • $70,000 - $85,000; annually

Essential Duties: • Establishes controls for approval of various actions within functional responsibility, such as personnel actions and expenditures.

• Monitors a variety of account expenditures, maintains and reconciles detailed budgets for multiple accounts, advises and/or determines which expenditures are within the budget guidelines; informs department head of irregularities and proceeds with corrective action.

• Processes and approves travel reimbursements, purchase of supplies, services, and equipment with the use of P-Card and other purchasing methods in accordance with established procurement and financial policies.

• Reviews and processes department’s payables including vendor invoices and reimbursements.

• Assists in preparation and/or coordination of major operational and special budgets; prepares and presents budget projection and analyses.

• Prepares or participates in the preparation of financial and administrative reports; analyzes and interprets statistical, financial and management planning data for decision-making and strategic planning.

• Administers personal services budget, expenditures and revenues; reviews and authorizes purchase of supplies, services, and equipment.

• Analyzes and makes recommendation for staffing, capital equipment/improvement, supplies and service requirements.

• Keeps informed of, interprets and applies pertinent rules, regulations, policies and procedures set forth by university or other governing agencies.

• Develops recommendations for implementation of procedures for daily operations of assigned functions according to established policies.

• Coordinates internal and external audits, and prepares audit work papers.

• Represents the school in all Business Operations Manager meetings and serves as liaison for unit.

• Participates in development of long-range strategic plan for work unit and coordinates communication of objectives to achieve goals.

• Provides technical and professional direction to work unit as required.

• Manages, reconciles and audits department purchasing cards monthly.

• Supervises work of subordinate personnel which includes processing transactions, ensuring accurate timecard reporting, payroll reconciliation, etc.

Desired Qualifications: • Experience working in a higher education environment.

• Demonstrated knowledge of accounting principles, practices and procedures.    

• Demonstrated knowledge of California hiring and employment practices.

• Demonstrated knowledge of ASU accounting and budgeting systems, procedures and techniques.

• Experience in preparing financial reports and creating spreadsheets, monitoring of financial transactions for compliance with policy and procedures, creating and maintaining budgets and operating in a fiscally sound environment.

• Experience exercising judgment, coordinating activities, making decisions, setting priorities, interpreting policies and procedures, working independently and communicating effectively.

• Experience in working efficiently in a fast-paced dynamic environment subject to quickly changing priorities and potentially conflicting deadlines.

• Evidence of effective verbal and written communication skills.

• Demonstrated knowledge of supervision practices and techniques, including leading a team in being successful with meeting the ASU Charter core values.

• Demonstrated knowledge of management principles and practices.

• Demonstrated knowledge of the principle
