Summary of Job Duties: The Administrative Coordinator provides high-level administrative and operational support to Maternal-Fetal Medicine (MFM) faculty and fellows, General Obstetrics and Gynecology faculty, and other departmental personnel as needed. This position coordinates daily office operations, scheduling, personnel-related activities, and departmental reporting.

The Administrative Coordinator serves as the functional lead for maintaining accurate MFM faculty and fellow schedules in QGenda. The position also coordinates and completes credentialing requests for MFM faculty providing consultative services at external birthing hospitals. The successful candidate will demonstrate strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced medical environment. Qualifications: • Bachelor’s degree, plus two (2) years of administrative office support experience in a medical or hospital setting OR High school diploma or equivalent, plus six (6) years of administrative office support experience in a medical or hospital setting.

Additional Information: Responsibilities • Serves as the functional lead for creating and maintaining clinical and call schedules in QGenda for Maternal-Fetal Medicine (MFM) faculty and fellows.

• Proactively reviews schedules for accuracy, communicates updates to the MFM team, and troubleshoots provider-scheduling conflicts and system-related issues.

• Serves as the primary point of contact for coordinating and completing credentialing and recredentialing requests for MFM faculty who provide high-risk consultative services at birthing hospitals throughout Arkansas.

• Works closely with external facilities to ensure credentialing packets and supporting documentation are completed accurately and submitted promptly.

• Coordinates the daily administrative operations of the MFM Division and Fellowship Program.

• Manages calendars, email communications, meetings, minutes, conferences, nonclinical appointments, schedule changes, and cancellations.

• Drafts and edits correspondence, letters of recommendation, and letters of support.

• Assists with continuing medical education (CME), Maintenance of Certification (MOC), medical license renewals, professional memberships, credentialing, curriculum vitae, faculty biographies, and promotion and tenure materials.

• Supports research activities, including research articles, grant submissions, literature reviews, manuscripts, journal submissions, and PowerPoint presentations.

• Provides administrative coordination for Fetal Anomaly Interdisciplinary Management (FAIM), Obstetrics Process Improvement (OBPI), Cardio-OB, NICU/OB, and other local and national meetings.

• Collaborates with the Fellowship Program Director to support program operations and continued excellence.
