About this role
Job Description Position Summary: The Administrative Coordinator provides direct administrative support to the Accessibility Center staff including the Student Disability Center director or Assistive Technology Resource Center director and acts as main point of contact for those interacting with the department, including students, faculty, staff and visitors. The position oversees day-to-day operational management of activities related to reception duties as well as budgetary tasks. Reception duties include providing information, scheduling and record keeping. Budgetary tasks include travel arrangements and documents, payroll, and managing budget expenditures. This position also collaborates with other Accessibility Center staff in recruitment, hiring, and supervising while supporting onboarding functions for new staff both students and full time, such as facilitating IT-related needs, ordering name tags and business cards, ordering furniture, organizing ergonomic assessments, etc. This position will have direct supervision of student staff and Accessibility Center staff.

Description of Work Unit: The Accessibility Center is a combination of three units with distinct roles and responsibilities to ensure equal access for Colorado State University students and employees with disabilities as defined by the Americans with Disabilities Act (ADA), Sections 504/508 of the Rehabilitation Act, and CO HB 21 1110.
Under the Office of the Provost and Executive Vice President, the Accessibility Center in alignment with Colorado State University’s land-grant mission, leads and advances equitable access across the university by setting institutional guidelines, standards, and best practices for accessibility and inclusion. Together, the Student Disability Center, Assistive Technology Resource Center, and Accessible Media Production unite to provide and enhance access, accommodations, assistive technology, digital accessibility, and campus-wide accessibility resources that serve individuals with disabilities and strengthen the broader community. Through collaboration, we proactively empower students, faculty, and staff to share responsibility for the integration of accessibility into all aspects of university life. The Accessibility Center serves as both a campus leader and a national exemplar in creating inclusive, barrier-free learning and working environments.
Essential Job Duties: • Coordinates department supply orders including researching and contacting vendors, negotiating and procuring quotes, generating purchase orders, works with CSU purchasing agents, orders and distributes office supplies, negotiates catering services, and process travel documents. • Provides higher level administrative support for the Student Disability Center director and Assistive Technology Resource Center director; Coordinates meetings for staff, including making appointments for professional staff, scheduling coverage for university events needing Accessibility Center representation. • Clerical duties include printing, scanning, filling, labeling, etc., oversight of university mailing procedures, oversee maintenance of copiers, scanners, faxes, phones, and other equipment within the department. • Provide administrative support on search committees for full-time positions and act as search support while serving as department liaison and resource for human resources including; facilitating hiring for all new employees (student and full-time); responsible for processing all travel documents. • Act as Liaison to the Office of the Provost Financial Administrative Assistant; oversee and manage Accessibility Center’s financial transactions; Kuali financial document initiator and process accounts payable and accounts receivable and PCard documentation and reallocation; collect and record expenditures/receipts. • Provides project management: taking meeting minutes, establishing and maintaining deadlines for the Accessibility Center projects, follows up on project progress and general oversite, coordinates data collection, creates annual report, and contributes to the Accessibility Center’s strategic plan review and revision process. • Maintain office compliance with state and federal laws, including but not limited to Section 504 of the Rehabilitation Act of 1973 and the ADA, track voting forms given to students, including reporting activity to a federal reporting agency, and state and federal accessibility laws. • Recruit, hire, and support mentorship and evaluation of student staff for operations of the Accessibility Center and develop and lead student employee training and recognition activities, oversee bi-weekly meetings, and oversee and edit bi-weekly payroll approvals. • Other duties as assigned.
Conditions of Employment: • The successful candidate must be legally authorized to work in the United States by the proposed start date; the department will not provide visa sponsorship for this position. • Pre-employment Criminal Background Check (required for new hires).
Supervision: • Will be responsible for a team of student staff and Accessibility Center staff who support the front desk.
Minimum Qualifications: • Bachelor’s degree • Three years of clerical/office experience • Strong customer services skills • Experience navigating complex projects and tasks • Demonstrated communication skills
Preferred Qualifications: • Experience working within the Colorado State University system and hold institutional knowledge. • Demonstrated computer skills including text/word and spreadsheet programs. • Experience with budget management. • Experience with project or program management. • Working knowledge of Section 504 of the Rehabilitation Act of 1973 and Americans with Disabilities Act and its amendments and state and federal laws relating to disability.
