The Academic HR Specialist serves as an Academic Human Resources operational specialist for faculty and academic employment matters. Under general supervision, this position administers and coordinates complex faculty employment processes including personnel actions, adjunct hiring, faculty appointments, compensation transactions, academic employment compliance, external employment reviews, faculty separations, and related HRIS activities. This position functions as part of a central review and processing authority for Academic Human Resources transactions and serves as a liaison among Academic Affairs, Division of Health Sciences, colleges, departments, Payroll, Budget, Faculty Affairs, and executive leadership. The incumbent ensures compliance with Texas A&M System regulations, university policies, state and federal laws, accreditation requirements, and established academic personnel practices while maintaining the integrity of faculty employment data and personnel records.
The position provides consultation and guidance to department administrative assistants/coordinators, department heads, deans, and university leadership regarding faculty employment actions, compensation administration, academic staffing processes, Workday transactions, and employment compliance matters.
Position is primarily located at the Stephenville campus and generally works Monday through Friday, 8:00 a.m. to 5:00 p.m., or as business needs dictate. Additional hours, including evenings and weekends, may be required during peak operational periods, special projects, or critical academic staffing cycles. Limited hybrid work opportunities may be available based on operational needs, employee performance, and supervisory approval in accordance with University and Human Resources guidelines.
Responsibilities:
• Coordinates the creation, posting, and processing of actions in Workday by connecting with and training administrative personnel.
• Supervises the support and assistance of employees and managers in staffing and/or payroll related functions (data changes).
• May coordinate complex academic affairs staffing functions including position reclassifications and promotion to support the Tenure & Promotion process.
• Develops, implements, evaluates, and reviews faculty staffing related processes in accordance with internal and external regulatory requirements, best practices, and university needs.
• Oversees the maintenance of faculty personnel records and ensures the accuracy of files and compliance with applicable Texas A&M University System rules/regulations, Texas Higher Education Coordinating Board rules/regulations, office processes, state and federal laws and regulations and other external constituencies. Oversees the auditing of Workday actions.
• Investigates complex faculty staffing and/or payroll errors and works with stakeholders on identifying appropriate corrective action.
• Develops and analyzes complex staffing reports, summaries, reviews, and related documents . Audits staffing and/or payroll documents as necessary.
• Assists with communication responsibilities associated with the Division. Prepares correspondence and communications for internal and external contacts. Assists in the drafting of procedures and policies for administrative review. Assists in coordinating the review of policies, rules, and procedures for the university community.
