About this role

Job Description Position Summary: The Administrative Assistant/Clinical Trials Support position provides administrative and organizational support for clinical trial activities within the Orthopedic Medicine and Mobility (OMM) and Canine Action Network to Defend Osteoarthritis (CANDO) Clinical Trials program. This position serves as a central communication and coordination resource for participating in clinical sites, pet owners enrolled in studies, sponsors, and donors. This role is non-clinical and non-scientific in nature and does not include responsibilities related to patient care, research data collection or analysis, regulatory oversight, protocol development, grant writing, or study proposal preparation. This position provides support for the general administrative operations of a given unit. Responsibilities include reception duties, scheduling, producing reports and correspondence, assisting in fiscal activities and rendering consistent office support. May assist with organizing meetings, travel and events. This position offers the potential for a hybrid work environment, with a combination of in-person and remote work, based on training requirements.

Description of Work Unit: The Department of Clinical Sciences mission is to assure the health and productivity of animals to meet societal needs through high quality educational programs for professional veterinary medical students, graduate veterinarians, and the public through a faculty and veterinary medical center of excellence, and to advance and disseminate comparative biomedical knowledge in an environment of interdisciplinary collaboration.

Essential Job Duties: Administrative Coordination & Clinical Trial Support • Coordinate and manage meetings, appointments, site calls, and trial-related communications by maintaining calendars, organizing logistics, and ensuring efficient scheduling for investigators, sponsors, collaborators, and participating clinical sites. • Serve as the primary administrative contact for participating clinics and pet owners, ensuring timely communication and follow up on timelines, forms, appointments, and study participation requirements. • Communicate with participating pet owners to coordinate scheduling, provide reminders, and facilitate general communications. • Track communications and maintain organized administrative records to support clinical trial activities and support overall organization of clinical trial activities. • Assist with onboarding participating sites and providing non-technical study materials.

Outreach, Recruitment & Advertising Support • Coordinate outreach effort with participating clinics and community partners, supporting social media and communication campaigns related to trials. • Support outreach and recruitment efforts by distributing materials and informational content and responding to general inquiries from owners and referring clinics.

Donor & Sponsor Engagement S upport • Provide administrative support for donor and sponsor engagement, including scheduling meetings, managing correspondence, organizing visits, and maintaining interaction records.

Conditions of Employment: • Pre-employment Criminal Background Check (required for new hires). • The successful candidate must be legally authorized to work in the United States by the proposed start date. The department will not provide visa sponsorship for this position.

Minimum Education Qualifications: • High school diploma or GED required; Associate’s or Bachelor’s degree preferred.

Minimum Experience/Skills Qualifications: • Minimum of one (1) year of administrative, customer service, office support, or coordination experience. • Strong organizational and time-management skills. • Excellent written and verbal communication skills. • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). • Ability to maintain professionalism and confidentiality. • Experience coordinating schedules, meetings, or events. • Ability to interact professionally with pet owners, clinical partners, donors, and sponsors.

Preferred Qualifications: • Associate’s or Bachelor’s degree. • Experience working in a veterinary, healthcare, university, nonprofit, or research environment . • Experience supporting outreach, marketing, or donor engagement activities. • Familiarity with scheduling platforms, mailing systems, or customer relationship management tools. • Experience supporting multi-site programs or projects.
